Prompt tracking template
Same questions. Every month. Written down.
This prompt tracking template is a spreadsheet for a monthly AI check: you ask the same buyer questions in ChatGPT, Claude, Gemini, Perplexity, Copilot and Google's AI Overviews, and log the date, the prompt, the assistant, whether you were named, which competitors were named and which sources were cited. Answers vary from person to person and day to day, so one test tells you little.
The same prompts, logged every month, show you the trend.

Keep the columns the same every month, so you can compare like with like.
| Column | What to write |
|---|---|
| Date | The day you ran the check. Run it at the same point each month. |
| Prompt | The buyer's question, word for word, exactly as last month. |
| Assistant | ChatGPT, Claude, Gemini, Perplexity, Copilot or Google AI Overviews. |
| Named (Y/N) | Y if your business is named in the answer, N if not. |
| Competitors named | Every other business in the answer, in the order they appear. |
| Sources cited | The sites the answer links to or mentions: directories, lists, reviews, press, your own pages. |
| Notes | Anything wrong or out of date about you, such as an old address or a missing service. |
How do you run a monthly AI prompt check?
Use a fixed set of questions and the same method each month. Changing the wording changes the answers.
- 1
Write the prompts
Ten to twenty questions your buyers ask, such as "best web designer in Leicestershire" or "who can fix my Google Ads". Mix broad and specific.
- 2
Use a fresh chat
Start a new chat for every prompt, with memory and personalisation off where you can, such as ChatGPT's temporary chat.
- 3
Ask every assistant
The same wording in ChatGPT, Claude, Gemini, Perplexity and Copilot, and the same search in Google for AI Overviews.
- 4
Log every answer
Named or not, which competitors, which sources. Paste the answer into Notes if it gets something wrong.
- 5
Compare with last month
Count the prompts you were named in, per assistant. Look for sources that keep coming up.
- 6
Check your analytics
Look at visits from chatgpt.com, perplexity.ai and other assistants as their own channel, alongside the log.
What should you do with the results?
The Sources cited column is the most useful one. It tells you where assistants are reading about your market.
- Sources that keep appearing.Get onto those directories, lists and sites, with the same details you use everywhere.
- Competitors who are always named.Look at what they have that you don't: prices on the page, reviews, press, a page for that exact service.
- Wrong facts about you.Fix them at the source, on your own site and your listings, then check again next month.
- Named in some assistants, not others.Missing from ChatGPT search and Copilot often points to Bing. Missing from AI Overviews points to Google.
How does Foundry track AI visibility?
We agree a fixed set of buyer questions with you, run them in every major assistant each month and log the answers in this format. Then we work on the sources that keep coming up, and on the facts on your own site.
The results go in your report on the 1st of every month. For BidScript, the work meant 40x more Google AI answers in 3 months.

Prompt tracking template FAQs
Ten to twenty is enough for most small businesses. Pick the questions closest to a buying decision, and keep them the same each month.
Assistants vary their answers, and some tailor them to the person asking. That's why one test means little and a monthly log means much more.
ChatGPT, Claude, Gemini, Perplexity, Copilot and Google's AI Overviews cover the ones most people use.
Some paid tools run prompts on a schedule. A sheet works fine to start, and you see the full answers yourself.
Yes. Visits from chatgpt.com, perplexity.ai and similar sites show as referrals. Group them as their own channel so they're easy to track.
